How RealMatch Uses Your CRM Data

Your CRM is the backbone of your business. Here's exactly how RealMatch interacts with it — and what we commit to never doing.

We will never overwrite your data.

We know that Follow Up Boss doesn't offer read-only API access — any connected app technically has permission to write. That's why we want to be upfront: RealMatch is built to read only. Our code never calls a single write endpoint on your contacts, notes, tags, or any other CRM record. Your database stays exactly as you left it.

Our AI never connects to your CRM directly. All data flows through controlled API calls — we pull a copy of the data we need, analyze it separately, and store only the structured results. Your Follow Up Boss account is never exposed to AI processing.

What We Read

RealMatch reads the following data to understand what your buyers are looking for:

  • Contacts — names, emails, phones, tags, and stages to identify buyers
  • Notes & call logs — to understand buyer preferences from your conversations
  • Property activity — inquiries, saved searches, and property views

What We Never Do

  • Create, edit, or delete contacts in your CRM
  • Add, modify, or delete notes, tags, or stages
  • Send emails, texts, or calls through your CRM
  • Access financial data, transactions, or documents
  • Share your data with other agents, brokerages, or third parties

How AI Analysis Works

Our AI analyzes a copy of your data — it never touches your CRM directly.

    Contacts, notes, and activity are read through the secure connection you authorized.

    AI extracts buyer preferences

    Your notes and call logs are analyzed to pull out what each buyer is looking for — price range, location, beds, baths, property type, and lifestyle preferences.

    Buyer profiles are stored in RealMatch

    Only the structured buyer criteria is kept. When you describe a listing, we match it against these profiles and show you who fits.

    Stays up to date automatically

    When you add a new note or a buyer's activity changes in your CRM, we re-analyze their preferences automatically — no manual work needed.

Secure Connection

  • We never see or store your CRM password
  • You authorize access directly through your CRM provider's consent screen
  • You can revoke access anytime from your CRM settings
  • All connection credentials are encrypted at rest

Your Data Is Never Used to Train AI

The AI we use to analyze your CRM data does not retain or learn from your information. Your notes and call logs are processed in real time, and the AI provider discards the data immediately after analysis. It is never used to train models or shared with anyone.

Delete Anytime

You can disconnect your CRM or delete your entire account at any time from Settings. When you delete your account, all data is permanently removed — buyer profiles, match results, search history, and connection credentials. Nothing is retained.
